Business Department Operations Manager

Working in a fast-paced environment, which requires direct contact with attorneys and staff, the Business Department Operations Manager, in collaboration with the Chairs of the Business Department and Business Department practice group leaders, will facilitate the effective operation of the Business Department.

Responsibilities

  • Provide executive support to the department to enable the chairs and the partners to focus on clients and matters
  • Periodic monitoring and coordination of practice group initiatives and reporting back to Business Department Chairs, Professional Development Department, Knowledge Management & Innovation Attorney, and Diversity, Equity & Inclusion Department
  • Supervise intra-group communications across the Business Department and practice groups including managing team distribution lists, team meeting calendars, department newsletter, and coordinating related logistics
  • Under the direction of the Business Department Chairs, plan all department training and plan and schedule department and practice group social events, including coordination of welcome receptions, annual department gatherings, team building events, gifts and acknowledgements, and other efforts
  • Coordinate with Business Department Staffing Manager as needed to monitor department utilization and capacity
  • Maintain a positive and professional attitude at all times. Work effectively with other departments, seeking solutions to business problems.  Demonstrate an intellectual curiosity and continuous drive to improve service
  • The Operations Manager assists with other projects and processes related to the operation of the Business Department as needed
  • Coordinate with legal recruiting and human resources to oversee lateral integration efforts to ensure new lawyers are on-boarded successfully
  • Coordinate with Professional Development and Business Department Chairs to solicit feedback from attorneys and prepare associate and counsel performance reviews and provide resources, as needed
  • Work with Knowledge Management & Innovation Attorney to research technologies and innovations relevant to practice management/operations
  • Monitor department and practice group budgets and coordinate the annual budget development process
  • Administer and coordinate the completion of evaluations, goal setting, and check-in sessions
  • Manage office moves, secondments, attorney and paralegal leaves of absence (parental, medical, etc.), and alternative work schedules
  • In collaboration with Business Department Staffing Manager, assist with departing attorney and paralegal processes, including matter transitioning and matter mobility
  • Compose, edit and proofread correspondence, presentations and other documents. Demonstrate exceptional technological/document production skills
  • Proactively coordinate internal/external meetings with limited direction. Arrange proper logistics based on meeting requirements (visitor offices, conference room, video conference and dial-in number, as appropriate)
  • Collaborate with Pro Bono Committee, Business Department Chairs and Attorneys to achieve the firm’s pro bono goals and reflect deep commitment to provide quality legal representation to disadvantaged and disfavored individuals and groups

Requirements

  • Bachelor’s degree in business administration, finance, or human resources or equivalent professional experience required
  • J.D. preferred but not required
  • Five years or more experience in a law firm or professional services firm required
  • Exceptional Microsoft Office proficiency and the aptitude to learn new software quickly
  • Ability to travel up to 25% of the time
  • Exceptionally strong written and oral communication skills
  • Self-motivated, ability to work independently, be proactive and take initiative
  • Ability to prioritize multiple projects, and work across multiple teams and offices
  • Attention to detail, as well as the ability to deliver boardroom-ready materials and exercise sound judgment are important capabilities for candidates considering this position
  • Ability to respect, protect, and maintain highly confidential and sensitive information
  • Ability to develop and forge positive and collaborative working relationships with all levels of personnel, including attorneys, paralegals, management staff and support staff
  • Strong interpersonal and customer service skills, coupled with a positive outlook; public relations and diplomacy skills must be excellent
  • Knowledge of electronic databases, viDesktop and Survey Monkey a plus
  • The Operations Manager is expected to work the hours necessary to fulfill the responsibilities of the position. Support may be required on evenings and weekends from this position.
